Position Summary:
The College of Engineering is seeking an Events Manager. This is a full-time (1.00 FTE), 12-month, professional faculty position.
The Event Manager organizes and oversees logistics for in-person and virtual programming, including major events in the College of Engineering. The role will implement programs to support strategic external relations priorities, including alumni and donor relations, undergraduate and graduate student recruitment, industry relations and corporate engagement, and college reputation building.

The role establishes and maintains relationships with internal and external stakeholders, including alumni, faculty, staff, volunteers, industry partners, committees, federal, state, and local agencies, and professional associations to ensure the desired outcomes are met for college events and programs. The role will participate in efforts that support the mission, vision, and goals for the college. The role reports to the Senior Director of Advancement in the college.

Position Duties
60% Events and programs logisticsAs a member of the college advancement team, this role will coordinate with colleagues across the college and university to develop and implement new and existing programming to engage college constituents. Programs may be in-person or virtual and a focus will be placed on hybrid event management.

Provides event and program management:
  • Oversees logistics and budget to ensure event and program objectives are met.
  • Establishes protocols, collaborates with stakeholders, builds and maintains relationships with various internal and external constituents, and coordinates with vendors.
  • Drafts event proposals and coordinates with executive management to ensure event objectives are achieved.
  • Works with the college marketing and communications team to ensure compliance with university and college branding guidelines in all marketing and communications, as well as compliance with university policy, and state and federal regulations.
  • Maintains the advancement events calendar.
  • Ensure constituent engagement tracking within CRM Advance (donor information database).
  • This position may require the use of a personally owned vehicle or use of an OSU vehicle to carry out position duties, such as driving students to and from events.



20% Professional development and other duties as assigned
  • Identify best practices in the fields of event management and constituent engagement through continued professional development.

10% Analysis and outcome measurements
  • Assess outcomes of initiatives and make determinations on continuation or changes in strategy in consultation with the Senior Director of Advancement.
  • Evaluates event results and outcomes and implements improvements in support of the organizational mission.
  • Provides analysis, data, and reporting to assess the effectiveness of current programs and services and to inform decisions and make recommendations to executive management.
  • Creates and implements new strategies to improve and measure the success of programs and events.
  • Evaluates events and programs and conducts analysis for cost-saving measures.

10% Supervision
  • Supervises a team of student employees.
  • Provides lead work to classified and professional staff within college units as needed in support of event management.


Minimum Qualifications
  • Bachelors degree in business, marketing, hospitality management or closely related field with a minimum of 2 years of professional experience in event management.
  • Demonstrated success in event design.
  • Demonstrated project management skills, including managing multiple, competing assignments simultaneously and working under pressure.
  • Experience setting priorities, developing work plans, monitoring progress, and tracking
  • details/data/information, and ability to manage time effectively, both independently and in a team environment.
  • Excellent, verbal and written communications skills, organization skills, and attention to detail.
  • Ability to implement creative problem solving and make independent decisions with little to no oversight.
  • A demonstrable commitment to promoting and enhancing diversity.
  • Proficiency in software applications including Microsoft Word, Excel, Outlook, Publisher and Adobe Acrobat.



This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions.

This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid drivers license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.

Additional Required Qualifications


Preferred (Special) Qualifications
  • Previous experience working in higher education.
  • Previous experience working with or within a nonprofit organization or private foundation.
  • Experience with overseeing and executing large-scale events for alumni, volunteers, students, industry partners, and/or other community constituents.
  • Previous experience in leading programming that resulted in meaningful and measurable engagement.


Working Conditions / Work Schedule
  • Light to moderate lifting may be required.
  • Regular attendance required. Some weekend and evening work required.
  • Travel is required, including driving to events.
