Position Description

Provides a wide array of administrative support to the Office of the Provost, in a dynamic, professional, and highly confidential work environment, with broad internal and external stakeholders. This position reports to the Vice Provost for Student Success and the Vice Provost for Global Engagement.

Provide executive-level administrative support to the Office of the Provost

Maintains the calendars of the VP for Student Success, the VP for Global Engagement, and the Associate Provost for Business and Faculty Administration.
Schedules a large number of appointments and meetings, and coordinates meeting logistics, including but not limited to room reservations, A/V, technical support, catering, and travel.
Prepares emails, correspondence, memos, reports and other documents.
Manages paper and digital filing systems to ensure secure retention and easy retrieval of documents.
Provides assistance on budget-related activities as needed, including stipend payments, procurement and journal entries processing for the Office of the Provost.
Tracks and supports the approval process for contracts, grants, and external partnership agreements.

Other Job Functions

Updates and maintains relevant pages of the Seattle University website.
Provides administrative support to teams and working groups led by the VP for Student Success, the VP for Global Engagement, and the Associate Provost for Business and Faculty Administration.
Coordinates the Computer Refresh program for the Office of the Provost.
Other duties as assigned, including but not limited to, ordering office supplies, and providing support for other division events, programs and initiatives as needed.

Qualifications

Minimum Qualifications

Bachelor's degree and three years previous administrative support experience or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
Must possess attention to detail, organization, and the ability to multi-task in a deadline-driven environment where priorities can shift quickly.
Advanced skills in calendaring and correspondence. Excellent interpersonal, verbal and written communication skills and a commitment to outstanding customer service with a diverse group of stakeholders.
Demonstrated intercultural competency. Demonstrated ability to handle sensitive and confidential matters.
Proficiency in Microsoft Office365, including Outlook, Word, Excel, PowerPoint, and Adobe Acrobat. Interest in learning new software.

Preferred Qualifications

Bachelor's degree. Two years of C-level administrative support.
Proficiency in MS Publisher, SharePoint, OneDrive.
Experience with corporate or educational marketing and social media management a plus.
Experience with international communities, stakeholders, travel and education a plus.
Sense of humor a plus.

Compensation at a Glance:

Salary Range: $50,800 - $56,300

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.
