Position Summary


(Classified as: Administrative Analyst/Specialist Exempt II)

Full-time position available on or after October 2, 2023 for University Advancement.
Under the general direction of the Executive Director of Development, the Prospect Researcher guides the work of the volunteer Comprehensive Campaign Committee, coordinates the internal moves management process for the Campaign, performs prospect research and prepares proposals that support the work of the major gift fundraising team.

The Prospect Researcher serves to direct and support database management, prospect research, moves management tracking, and all operations management regarding Campaign activity. The Specialist will work as a primary member of the Development team, while working closely with all members of University Advancement, and volunteer leaders to support and track the identification, cultivation, solicitation, and stewardship of gifts in support of the campus-wide fundraising effort. This position has responsibility for proactive prospecting, moves management tracking, prospect management, and prospect research as it relates to fundraising initiatives.

The Prospect Researcher will build, evaluate, maintain and rate a qualified pool of prospects using wealth screening data and other available tools; applies independent judgment to provide analysis of the database and will be responsible for developing processes, policies and best practices, including identification and/or strategic research and analysis of top-tier donor prospects, corporations, foundations and key volunteers in the support of University Advancement.

Job Duties
Duties include but are not limited to:
  • Manage and organize donor/prospective donor tracking system related to Campaign activity.
  • Independently prepare briefing materials including prospect profiles and proposals for donor meetings.
  • Develop and evaluate identification, engagement, cultivation and solicitation plans for existing and prospective donors to the Comprehensive Fundraising Campaign referencing policies and practices for guidance.
  • Interact and exchange ideas with University Advancement staff as a collaborative partner and strategic consultant regarding prospect research and assignment, cultivation and solicitation of potential donors.
  • Initiate and ensure prompt follow-up on all Campaign activity related to donors, prospective donors, and volunteer leadership team.
  • Actively participate in & coordinate donor meetings and appointments.
  • Provide oversight of Campaign volunteer committee and subcommittees and organizing meetings and follow-up.
  • Prepare comprehensive biographical and financial profiles/reports by interpreting and synthesizing large volumes of complex financial and biographic data that inform the strategic development of potential donors.
  • Provide analysis regarding donor giving patterns and implications using considerable judgement to make recommendations to the Development Team.
  • Conduct prospect research using standard theories, principles, practices, and techniques through online tools to identify both current and prospective donors.
  • Perform regular database screening to identify and qualify prospective major gift donors.
  • Research and prepare prospect profiles utilizing the University's suite of profile templates as requested by major gift fundraisers and as needed to brief the President, Vice President, other members of campus leadership and major gift fundraisers ahead of donor visits and fundraising events.
  • Coordinate with the Prospect Lead to build, evaluate, maintain and rate a qualified pool of prospects using wealth screening data and sophisticated research tools.
  • Generate database reports and manage campaign and annual gift tracking and analysis for Development staff and Campaign/Foundation Board meetings.
  • Research donors' biographical information, philanthropic interests, connections to the University, giving history, education, honors, etc., and synthesize the information to prepare major gift proposals as needed to support the work of the fundraising team.
  • Plan, organize, and produce reports, brochures, newsletters, and other outreach materials in coordination with Marketing and Communications staff.
  • Attend training and maintain skills currently as appropriate to safely and effectively complete assignments.
  • Other duties as assigned.

    Minimum Qualifications
    Education: A bachelor's degree and/or equivalent training OR a combination of education and experience which provides the required knowledge and abilities.

    Experience: Minimum of five years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

    Preferred Qualifications

  • Five or more years experience within a higher education institution's university advancement setting.
  • Extensive experience in Raiser's Edge donor management software.
  • Experience working with high profile volunteer leadership and senior executives.

  • General knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods.
  • Knowledge of and ability to apply fundamental concepts.
  • Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit.
  • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
  • Working knowledge of operational and fiscal analysis and techniques.
  • Working knowledge of budget policies and procedures.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.

  • Expertise in administrative survey techniques, operations and systems analysis, statistical and research methods, and the ability to interpret and evaluate results to develop sound conclusions and recommend new or revised policies.
  • Ability to understand problems from a broad, interactive perspective and discern applicable underlying principles to conceive of and develop strategic solutions.
  • Ability to work with representatives from public and private entities and handle potentially sensitive situations. Demonstrated consultative skills in working with internal and external constituent groups.
  • Ability to effectively present ideas and concepts in written or presentation format and use consultative and facilitation skills to gain consensus.

    License or Certifications

  • Possession of a valid California driver's license or the ability to obtain one by date of hire.

    Salary Range
    Anticipated salary will be $5,022 - $5,938 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full Administrative Analyst Specialist Exempt II range: $5,022 - $9,083 per month)
