Job Description Summary
SAS Finance is seeking a Financial Administrative Coordinator. The Financial Administrative Coordinator will report to a Regional Business Office Manager (RBO). This position is an integral member of the Life Sciences RBO within the School of Arts Sciences. The Life Sciences RBO supports the unique business needs of 12 departments, programs and centers. SAS Finance staff is committed to supporting the academic mission of the School and the University by adding value through our work, finding solutions to operational challenges, and helping to prepare the School for tomorrow

Job Description

The Financial Administrative Coordinator provides financial and administrative support for Life Sciences RBO to ensure efficient and timely daily operations. This position will be the first point of contact for Life Science RBO clients demonstrating excellent customer service skills and knowledge of University financial policies. The Financial Administrative Coordinator will process and review all transactions, assist in processing weekly payroll, reconcile accounts, run monthly reports and answer policy questions. The successful candidate for the position will have the ability to work with, and the desire to learn from management and experienced colleagues in the office and across SAS.

DUTIES:
  • Process and review all transactions related to the RBO's financial activities. This includes Purchase Orders (BEN Financials), BEN Deposits, Payment Requests (Penn Marketplace) and Service Provider Classification requests. Onboard individual service providers/suppliers into marketplace. Serve as TEM/CONCUR travel system default reviewer. Facilitate and track payments to vendors. Respond to requests for information from faculty, staff, and students.
  • Coordinate Purchasing Card and related PaymentNet activities. Reallocate weekly card charges and work with clients to ensure compliance with SAS and University policies. Coordinate human subject payment requests.
  • Reconcile accounts, identify variances and wayward transactions. Resolve discrepancies by processing journals in Ben Financials. Run monthly reports for Faculty and Dept/Programs/Centers.
  • Support RBO Staff in coordinating personnel activities in Workday. This includes on boarding student workers, processing weekly payroll and one-time payments.
  • Exercise resource stewardship to ensure compliance with SAS and University policies and procedures. Keep up to date on and communicate proper policy and procedures to departmental contacts.
  • Maintain electronic and paper filing system for all departmental financial records.


QUALIFICATIONS:
  • High School diploma and 5-7 years of experience are required. BA/BS and 1-2 years' experience strongly preferred.
  • Familiarity with UPENN financial systems (BEN Financials, Business Objects, TEM/CONCUR) is preferred.
  • Proficiency in Microsoft Excel, Adobe applications and able to quickly learn new software applications is required.
  • Excellent interpersonal, analytical and written communication as well as time management skills are required.
  • Must demonstrate strong customer service skills with the ability to clearly communicate policies to faculty, staff and students.
  • Must demonstrate a proactive workstyle with strong follow-up skills. Ability to work under pressure and perform duties with strong attention to detail.
  • Proven ability to switch gears depending on processing and/or project deadlines and remain flexible in order to adapt to changing priorities. Must have the ability to work independently as well as function as part of a team.
