Job Summary:

The Office of Student Services (OSS) at the CU Skaggs School of Pharmacy and Pharmaceutical Sciences provides supportive services to our students, alumni, faculty, staff, and community partners. This position will provide student services, general administrative support and some executive administrative assistance to the Office of Student Services, the Senior Associate Dean for Student Affairs, the Director of Student Success and Wellness, and the Assistant Director of Student Engagement, all of which must be completed in a professional, polite, responsible, and respectful manner.

Key Responsibilities:
  • OSS Administrative Support: Oversee the daily office operations, including serving as the primary contact for visitors. Manage office schedules, ensuring coverage during operating hours, and coordinate appointments and events. Handle procurement of office supplies and maintain inventory, ensuring office needs are met efficiently.
  • Expense Management: Track and manage travel and procurement card expenses. Ensure timely submission of Concur expense reports, adhering to university policies and procedures. Process student reimbursements and deposits accurately and on time, ensuring compliance with university financial protocols.
  • Data Management: Maintain accurate student records, including organizing and compiling data for reports. Perform basic statistical analysis on OSS data and ensure that records are up to date for various administrative tasks. Manage and update a database of School of Pharmacy applicants and admitted students.
  • Administrative Tasks: Carry out various office duties such as making copies, taking meeting minutes, and organizing files that support the Standard Operating Procedures (SOP) committee operations. Assist in the creation and maintenance of documents related to student services and ensure they are accessible and well-organized.
  • Event Coordination: Provide support for event planning, including event setup, cleanup, and assisting with attendee coordination. Help with organizing and running OSS monthly meetings and the annual retreat, ensuring smooth operations and seamless logistics for all attendees.
  • Admissions Support: Enter and manage candidate information in CU-SIS and maintain tracking spreadsheets. Collaborate with team members to ensure accurate and timely data entry for residency, emails, PharmCAS, Concur, and other systems. Assist with logistical tasks such as confirming residency, processing payments, and managing interview schedules.
    • Interview Coordination: Coordinate the scheduling and logistics for candidate interviews using SuperSaaS. Prepare and organize interview materials, including virtual links and candidate profiles in CU-SIS. Ensure all interview day logistics are handled, including name tags, refreshments, and escorting candidates to interviews, and assist with post-interview reimbursements.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:
  • Bachelor's degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited institution.
  • One (1) year of professional level experience with student services or admissions.

A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:
  • Experience managing large-scale events.
  • Experience working in higher education, particularly in a student support setting.
  • Experience working with a student information system (SIS), or similar software.

Knowledge, Skills, and Abilities:
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Outstanding customer service skills.
  • Demonstrated commitment and leadership ability to advance diversity and inclusion.

  • Well established computer and technology skills.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as $55,975 - $71,201.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
